About this role

Responsibilities * Maintain employee records and ensure documentation is up to date. * Monitor staff attendance, leave, and disciplinary records. * Assist in recruitment, onboarding, and offboarding processes. * Maintain HR documents, including contracts, policies, and employee handbooks. * Ensure compliance with labor laws and company policies. * Prepare subcontractor (subcon) contracts every two weeks in accordance with project needs and timelines. * Prepare and process subcontractor fee payments every two weeks, ensuring accuracy and timely disbursement. * Generate monthly timesheet reports for EIPT staff, ensuring data integrity for payroll and project monitoring. * Monitor EIPT staff leave via the Worksy system, ensuring proper tracking and reporting. * Request and coordinate project insurance quotations as required by the project or management. * Maintain up-to-date employee records and HR documentation (contracts, leave forms, disciplinary actions, etc.). * Assist in the recruitment and onboarding process of new staff as required. * Handle employee inquiries and ensure compliance with company policies and relevant labor laws. Project Support & Compliance * Coordinate and manage the registration of JKKP/CIDB personnel as required for specific projects. * Request quotations for project-related insurance, ensuring timely coverage as per project schedules. * Prepare and process petty cash claims, maintaining accurate records and receipts in line with company procedures. * Liaise with project teams to support HR and administrative needs across different project sites. Other Responsibilities: * Perform ad hoc tasks and assignments as directed by management. * Support other departments with HR-related documentation or coordination as necessary. * Assist in general office administration, filing, and correspondence. Requirements * Diploma or Bachelor’s degree in Human Resource Management, Business Administration, or a related field. * Minimum 2 years of experience in a similar HR or administrative role, preferably in a project-based environment. * Familiarity with HR software/systems (e.g., Worksy or similar) is an advantage. * Good knowledge of Malaysian labor laws and HR best practices. * Proficient in Microsoft Office (Word, Excel, Outlook). * Strong interpersonal and communication skills. * High level of integrity, discretion, and organizational skills. * Ability to work independently and handle confidential information with discretion.
