About this role
**Key Responsibilities** * Tenant Meeting Coordination: Schedule, prepare for, and attend tenant meetings. Produce structured meeting notes and follow-up action lists. Ensure no commitment or enquiry falls through between retail consultant and the internal team. * TA, MOU & LOO Administration: Track the status of all Tenancy Agreements and Letters of Offer. Liaise with legal on document preparation. Maintain a live TA tracker with execution status, outstanding conditions, and key dates. * Tenant Correspondence: Manage routine correspondence with prospective and signed tenants. Escalate non-routine matters to Senior Manager or the General Manager immediately. * Leasing Pipeline Reporting: Maintain and update the leasing pipeline tracker. Produce a fortnightly pipeline report for the GM showing leasing status, signed commitments, NLA coverage, and pending actions. * Administration & Compliance: Maintain a structured filing system for all leasing documents. Ensure all executed agreements are filed, version-controlled, and accessible to the legal team. * Retail consultant Coordination Support: Coordinate scheduling, materials, and follow-up for all meetings and site visits involving retail consultant and prospective tenants. **Candidate Profile Required** * 2–4 years of experience in mall leasing, tenancy administration, or commercial property management. * Strong documentation discipline — able to manage a high volume of agreements and correspondence meticulously. * Organised and responsive — this role is the administrative engine of the leasing function and must operate with zero lag. * Familiarity with standard TA and LOO formats is preferred. Legal drafting is not required — coordination and tracking is. * Northern Malaysia exposure is preferred but not mandatory. Must be willing to be based at the project location.
